Booking Confirmation:

Please read the terms and conditions carefully, as we assume that by receiving a booking through this website and/or a request via email, you have read and accepted them.

When you book a tour on the website nicco-travel.com, we assume you have read and accepted the terms. If a person makes a booking for more than one person, he/she is responsible for payment from all in the group as well as accepting the terms and conditions on behalf of all in the group.

Required Information During Booking:

It is crucial that you provide all the necessary details accurately during the booking process. Upon the completion of your booking, you will receive a confirmation email containing your booking number and the voucher(s) for the service(s) you have reserved. This voucher acts as your proof of payment; therefore, you must always be able to provide a physical copy or an electronic version on your mobile device to show on the day of your tour.

Responsibility for Booking Accuracy:

You bear the responsibility to review all details in your booking confirmation and related documents to verify their accuracy. In the event of a discrepancy, such as incorrect dates or an erroneous number of participants, please contact Nicco Travel immediately. Timely notification is essential, as it may become increasingly challenging to alter your reservation as the tour departure date approaches. Nicco Travel will not assume responsibility for errors made during the booking process that are not promptly reported.

Booking Changes:

If you need to change a booking, we will try to assist you in any way possible. The sooner you are in touch, the better. If you need to change a booking, contact us through the contact form on nicco-travel.com or send us an email to info@nicco-travel.com. We can’t guarantee that we can change a tour, but we will always do our best.

General Payment Terms:

Payment instructions will be provided by Nicco Travel. All payments must be made via bank transfer unless otherwise agreed in writing.

Payment Terms for group bookings and B2B

Upon signing the contract, a 20 % non-refundable deposit of the total tour price must be paid.

50 % payment of the total tour price is due 91 days before departure (13 weeks).

30 % payment of the total tour price is due 42 days before departure (6 weeks).

If the tour is booked less than 30 days prior to departure, full payment of the tour price is required immediately.

Failure to pay any installment by the due date may result in automatic cancellation of the booking and forfeiture of the deposit and any payments made.

The non-refundable deposit (20%) is retained in all cases and is excluded from the cancellation fee calculation, which applies only to the remaining balance.

All payments refer to the total price of the tour.

Payment Terms for individuals

Upon signing the contract, a 20 % non-refundable deposit of the total tour price must be paid.

Rest of payment has to be paid 21 days prior to departure.

Failure to pay the remaining balance by the due date may result in automatic cancellation of the booking and forfeiture of the deposit.

If the tour is booked less than 30 days prior to departure, full payment of the tour price is required immediately.

The non-refundable deposit (20%) is retained in all cases and is excluded from the cancellation fee calculation, which applies only to the remaining balance.

Validity of prices

Pricelists

The rates and conditions for quotation are valid for 30 days from date of issue.
All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland. Nicco Travel reserves the right to increase/decrease prices already quoted or published in our price lists or in promoted calculation via email, but not invoiced yet, without notice, in the event of currency fluctuation, changes to government taxes, or due to any other cost increases beyond Nicco Travel’s control.
Once the final invoice has been issued, the price is guaranteed against any surcharge, unless an increase results from the following changes that are beyond the control of Nicco Travel:

• currency fluctuations relevant to the agreement.
• the level of taxes or fees on the travel services included in the contract  imposed by third parties not directly involved in the performance of the agreement, including tourist taxes, landing taxes or embarkation or disembarkation fees at ports and airports; or
• the price of the carriage of travellers resulting from the cost of fuel or other power sources relevant to the agreement

Reasonable notice will be given of the price change along with an explanation for the change.

If an increase in the price exceeds 8%, the clients/travellers are entitled to cancel the booking with a full refund.

No price changes will be made 20 days prior to travellers’ arrival in Iceland.

Please note: Unforeseen admission fees to nature sites are not included in the price list.

Cancellation Policy:

If you need to cancel your booked arrangements, you must give us written notice by email signed by the same person who made the original booking. Nicco Travel will do its best regarding your cancellation request. Cancellations should be sent to info@nicco-travel.com.

Cancellation policy for B2B and group tours

The following cancellation fees apply, calculated on the remaining balance of the booking after any non-refundable deposit:

90–61 days                         40 % of the remaining balance

60–31 days                         60 % of the remaining balance

Notes:

A non-refundable deposit of 20 % of the total booking price is required upon confirmation. This deposit is retained under all circumstances and is not included in the cancellation fees above.

Cancellation fees apply to the remaining balance after deduction of the non-refundable deposit.

Payment of cancellation fees must be made within 14 days of cancellation notice.

Third-Party Services Clause

Certain services (including but not limited to accommodation, transport providers, and activity operators) are subject to independent cancellation policies.

Any non-refundable costs imposed by third-party providers will be fully charged to the client, regardless of the cancellation timeline.

These costs may exceed the standard cancellation fees outlined above.

Nicco Travel reserves the right to pass on any such costs in full.

Final group size must be confirmed no later than 14 days prior to arrival.

Reduction in Group Size

Any reduction in the number of participants must be notified in writing. A reduction in group size is considered a partial cancellation of the booking.

The total tour price is based on the confirmed group size at the time of booking.

Notes:

Limits apply to the confirmed group size at the time of booking.

Fees apply to each participant exceeding the allowed reduction.

These fees represent compensation for reserved capacity and operational costs.

All applicable fees must be paid within 14 days of confirmation of the change.

Minimum Group Size

The tour price is calculated based on a minimum number of participants.

If the number of participants falls below this minimum, the supplier reserves the right to: adjust the total tour price, or modify the scope of services, or cancel the tour without liability for further compensation.

The minimum group size will be specified in the booking confirmation or agreement.

Cancellation policy for individuals B2C

The following cancellation fees apply, calculated on the remaining balance of the booking after any non-refundable deposit:

Refund Method:

The method of refund payments is the same as the original payment. For example, if payment was made by credit card, the refund will be to the same credit card. Based on the time a written cancellation was received, a refund percentage is determined. Fluctuations in exchange rates are not in our control, so the amount in your currency might differ.

Modifications and Changes:

Nicco Travel reserves the right to make alterations to the tour itineraries, schedules, or transportation if deemed necessary due to circumstances beyond our control (e.g., to change any tour route to avoid sudden hazardous weather conditions).

We are committed to ensuring that any changes made will be minor in nature and will not detract from the overall tour experience. In the event of a modification, we will make every reasonable effort to inform our customers as soon as possible.

Disclaimer:

All tours and activities offered by Nicco Travel are undertaken at the participants’ own risk. Nicco Travel does not assume any responsibility for accidents that are caused by our customers or can be traced back to their actions.

Liability:

Nicco Travel sells tours also from third-party tour operators; therefore, Nicco Travel cannot be held accountable for changes that a tour operator might make. Nicco Travel is also not liable for expenses because of accidents or sickness, strikes that will affect your tour, changes in flight schedules, or other happenings that Nicco Travel has no control over, like weather or volcanic activities.

Force Majeure

Nicco Travel disclaims responsibility for any loss, damage, accidents, sickness or changes in schedules resulting from causes beyond the control of Nicco Travel. Such causes include, but are not limited to, acts of nature, labour disputes, pandemic or any other irregularity beyond Nicco Travel‘s control. Nicco Travel reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise.

In case of any changes in flights (domestic and international), the

travellers shall pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.). We advise all traveller(s) to have comprehensive travel insurance to meet all contingencies.

General liability

Nicco Travel will not be responsible for any injury, illness, death, loss (for example loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following:

• The act(s) and/or omission(s) of the traveller(s) affected or any member(s) of their
  party or
• the act(s) and/or omission(s) of a third party not connected with the provision of the
  services and which were unforeseeable or unavoidable or
• circumstances beyond Nicco Travel‘s control as defined under Force Majeure.
  We advise all travellers to have comprehensive travel insurance to meet all contingencies. At no time is Nicco Travel responsible for indirect (consequential) damages.

Behavior Policies:

Nicco Travel promotes an environment of respect and safety. We do not tolerate any form of violence, racism, or harassment towards our staff or fellow tour participants. We reserve the right to terminate a tour without refund and take legal action if necessary against anyone exhibiting such behaviors.

Medical and Dietary Conditions

If you are affected by a medical condition which may affect your or other people’s enjoyment of the tour, you must advise this at the time of the booking.

Nicco Travel reserves the right to refuse service to customers who may not be fit enough for the tour/activity. 

Customers under the influence of alcohol or other substances will be prohibited from joining the tour/activity.

Personal Travel Insurance

Individual travel insurance is not included in the quoted prices.

It is recommended that clients take travel insurance against contingencies, including compensation for medical costs and cancellation fees.

In the event of an emergency medical rescue and/or repatriation from a tour by whatever means, the responsibility of such costs will be borne by the client.

All luggage and personal equipment are, at all times, at your own risk. We will not be responsible whatsoever for any loss, damage to your luggage and/or personal equipment / clothing.

Rooming lists

A rooming list must be sent to Nicco Travel no later than 10 weeks (70 days) prior to the travellers’ arrival, and a final rooming list at least 6 weeks (42 days) prior to travellers’ arrival.

Single Supplement Fee

For multi-day tours, a single fee supplement is mandatory. If your booking is made for 1 (one) person for a multi-day tour you must pay the single fee supplement to be entitled to get a single room at the hotel where the group will stay. 

If you want to sleep in different rooms, then a supplement fee will be charged separately for each room.

Photography and Marketing:

During tours, our guides and staff may take photographs or videos that could be used for marketing purposes, including publication on social media platforms. If you do not wish to be photographed or have your image used in this way, please inform our staff at the start of the tour.

Complaints by traveller

All complaints must be submitted to Nicco Travel in writing within 1 week (7 days) from the traveller’s departure from Iceland. Otherwise, any possible compensation is not valid.

Package Travel and Insolvency Protection

Nicco Travel is a licensed tour operator under the regulations of the Icelandic Tourist Board (Ferðamálastofa) and acts as an organizer of package travel services.

In accordance with Act No. 95/2018 on Package Travel and Linked Travel Arrangements and applicable EU legislation, Nicco Travel provides insolvency protection through the Travel Insurance Fund.

This protection ensures that, in the event of insolvency, payments made by travellers for package travel services are refunded and, where applicable, repatriation is secured.

Further information on the insolvency protection scheme is available upon request.

Governing Law:

These Terms and Conditions shall be governed by and construed in accordance with the laws of Iceland. Any disputes arising out of or in connection with these Terms and Conditions, including disputes relating to the validity thereof, shall be subject to the exclusive jurisdiction of the Reykjavik District Court (Héraðsdómur Reykjavíkur).
